Member Profiles — What's Tracked

Every person in your Wired Church database has a profile page that serves as a single source of truth for everything the church knows about them. From contact details and family connections to giving history and group involvement, the member profile brings it all together in one place. This guide walks through every section and tab of the profile page.


There are several ways to open a member's profile:

  1. Member list — Go to Members in the admin sidebar, find the person in the list, and click their name.
  2. Global search — Use the search bar at the top of any admin page. Type a name and select the member from the results.
  3. Quick links — Member names are clickable links throughout Wired Church — in attendance records, contribution batches, group rosters, and reports. Clicking a name anywhere opens their profile.

The Profile Header

At the top of every member profile, you will see:

  • Profile photo — The member's photo (or a default avatar if none has been uploaded).
  • Full name — First and last name in large text.
  • Status badge — A color-coded badge showing their membership status:
    • Active (green)
    • Inactive (gray)
    • Visitor (blue)
    • Prospect (amber)
  • Campus — Which campus they are associated with.
  • Family name — If they belong to a family group, the family name is shown with a link to view all family members.
  • Quick actions — Buttons for common tasks: Edit, Send Message, Add Note.

Tab: Personal Info

The Personal Info tab is the default view and contains the member's core data.

Contact Information

Field Description
Primary Phone Main phone number, used for SMS
Secondary Phone Alternate phone
Email Email address, used for broadcasts and statements
Preferred Contact Method Phone, Email, Text, or No Preference

Address

The full mailing address, displayed on a single card. Clicking the address opens it in Google Maps for quick reference.

Birthday Date of birth (with age calculated automatically)
Anniversary Wedding anniversary
Gender As provided by the member
Marital Status Single, Married, Widowed, Divorced

Spiritual Milestones

Milestone Description
Salvation Date Date the person accepted Christ
Baptism Date Water baptism date
Holy Ghost Holy Spirit baptism date
Membership Date Date they officially joined the church
Tip

Spiritual milestone dates are valuable for pastoral care. Pastors can pull a report of all members whose baptism anniversary falls this month, for example, and send an encouraging note.

Emergency Contact

Field Description
Emergency Contact Name Name of the person to contact in an emergency
Emergency Phone Their phone number
Relationship Relationship to the member (spouse, parent, sibling, friend)

Custom Fields

If your church has configured custom fields (under Admin > Settings > Custom Fields), they appear here in a dedicated section. Custom fields can be text, number, date, dropdown, or checkbox type.


Tab: Family

The Family tab shows the member's family group and all linked family members.

Family Group Card

  • Family Name — The group name (e.g., "Smith Family").
  • Head of Household — Indicated with a badge next to the member's name.
  • Family Members — A list of all members in this family group, each with their photo, name, relationship (spouse, child, parent), and a link to their individual profile.

Adding Family Members

From this tab, you can:

  1. Click Link Existing Member to search for and add an existing member record to this family.
  2. Click Add New Family Member to create a new member record that is automatically added to this family group.
  3. Change the relationship type for each family member (spouse, child, parent, sibling, other).

Family Giving Summary

A summary card shows the family's combined giving for the current year:

  • Total given (all family members combined)
  • Breakdown by fund
  • Comparison to the previous year
Note

Family giving summaries use the same data that appears on individual giving statements. When you generate a family giving statement, all contributions from family members marked as "include in family statement" are combined.


Tab: Attendance

The Attendance tab provides a complete history of this member's attendance.

Attendance Overview

  • Total services attended this year (with a comparison to last year).
  • Current attendance streak — Consecutive weeks attended.
  • Last attended — The most recent service date and type.
  • Attendance rate — Percentage of services attended out of total services held.

A visual chart shows attendance frequency over the past 12 months, making it easy to spot patterns — regular attendees, seasonal attendees, or members who have gradually stopped attending.

Tip

If a member's attendance drops significantly, the absentee alert system can automatically notify pastoral staff. See Attendance Tracking for details on configuring absentee alerts.


Tab: Giving

The Giving tab shows the member's complete contribution history, including overview cards (total given this year, number of contributions, average gift, preferred payment method, recurring gift status), a filterable contribution history table, and a monthly giving trends chart color-coded by fund.

From this tab, click Generate Statement to produce a giving statement for any date range, preview it on screen, or download as PDF.

Important

Contribution data is sensitive. Only admin users with read permission on the contributions module can view the Giving tab. Portal users can only see their own giving history.


Tab: Groups

The Groups tab lists every group this member belongs to (ministry and social), showing the group name, icon, member role (Leader, Member, Admin), date joined, and group type. Click Add to Group to add them to an existing group.

If the member is part of a ministry group with scheduled assignments, upcoming assignments are listed with date, service, role, and confirmation status.


Tab: Notes

The Notes tab is a private journal for pastoral and administrative notes. Click Add Note to create an entry with formatting, a category (Pastoral, Counseling, Administrative, Follow-Up, Prayer, General), and a visibility setting (Admin Only or Pastoral Staff Only). Notes display in reverse chronological order with author, timestamp, and category badge.

Notes are never visible to the member. Only admin users with appropriate permissions can view them.


The Member Timeline

Below the tabs, a Timeline aggregates all activity chronologically: attendance, contributions, groups joined/left, status changes, notes, portal activity, badges earned, and milestones. The timeline is filterable by activity type and date range.

Scan the timeline before pastoral visits to understand a member's recent engagement at a glance.


Connected User Account

If the member has a portal login, a Connected Account section shows their username, last login date, 2FA status, and account actions (reset password, disable, unlink). If no account exists, a Create Portal Account button lets you set up portal access.

Note

Not every member needs a portal account. Portal accounts are for members who want self-service features like the directory, community feed, online giving, and event RSVPs.


Privacy Settings

Each member has privacy settings that control what is visible to other members through the portal directory:

These settings can be configured by an admin on this page or by the member themselves through the portal under their profile settings.

Important

Privacy settings are respected everywhere in the portal. If a member hides their phone number, it will not appear in the directory, in group member lists, or in search results — regardless of who is viewing. Admin users in the admin panel can always see full member data regardless of privacy settings.


Editing a Member Profile

Click Edit in the profile header or the edit icon on any section. Make changes and click Save Changes. All edits are logged in the member timeline with the admin user and timestamp.


Frequently Asked Questions

Can members see their own profile from the portal? Yes. Portal users can view their personal info, attendance summary, giving history, group memberships, and badges from their portal dashboard. They cannot see admin notes or other members' giving data.

What happens if I change a member's status to Inactive? The member is removed from the active directory, excluded from default report filters, and their portal access is suspended (if they have a user account). Their data is preserved — nothing is deleted.

Can I export a member's profile data? Yes. Click Actions > Export Profile on any member profile to download a PDF or CSV containing all their profile data, attendance history, and giving records. This is useful for transfer letters or records requests.
