Campus-Specific Transactions and Reporting

Every financial transaction, attendance record, and event in Wired Church is tagged with a campus. This allows you to run reports for individual campuses or view consolidated data across your entire organization. This guide covers how campus tagging works, how to filter your views, and how to generate campus-specific and cross-campus reports.


How Campus Tagging Works

When you create a record in Wired Church, the system automatically tags it with the campus you currently have selected in the campus selector (the dropdown in the admin header bar). This applies to:

  • Contribution batches — Each batch belongs to one campus.
  • Individual contributions — Inherit the campus from their batch.
  • Attendance records — Tagged by the campus where the service occurred.
  • Events — Created under the currently selected campus.
  • Ministry assignments — Scheduled for a specific campus service.
Important

The campus tag is set at creation time. If you need to change the campus on an existing record, you must edit the record directly. Switching the campus selector does not retroactively change existing data.


Filtering Views by Campus

The campus selector in the admin header bar controls which data you see across all admin modules.

Using the Campus Selector

  1. Locate the campus dropdown in the top-right area of the admin header.
  2. Click the dropdown to see your options:
    • All Campuses — Shows consolidated data from every campus.
    • [Individual Campus] — Filters to show only that campus's data.
  3. Select the campus you want to view.
  4. All lists, tables, and dashboards update immediately to reflect the filter.
Tip

When you select a specific campus, the header bar displays a subtle color indicator matching that campus's accent color so you always know which campus context you are working in.

What Changes When You Filter

Module Filtered By Campus
Contributions Batches and individual contributions for that campus only
Attendance Service attendance records for that campus only
Events Events hosted at that campus only
Ministry Assignments for services at that campus only
Members Members whose home campus matches (in member list view)
Reports All report data scoped to the selected campus
Dashboard Summary cards and charts reflect the selected campus
Note

The member directory always shows all members regardless of campus filter. The campus filter on the members list is a secondary filter you can apply within the members module, not controlled by the header selector.


Contribution Batches and Campus

Every contribution batch is tied to a single campus. Here is how it works in practice:

  1. Manual batches — When you create a new batch, it is assigned to your currently selected campus. The batch reference number includes the campus code (e.g., DFS-2026-0315-001).

  2. Online giving batches — When Stripe processes online donations, the system attributes the gift to the donor's home campus. If the donor has no home campus set, the gift goes to the primary campus. When a Stripe payout arrives, the auto-generated batch is created under the campus that received the majority of gifts in that payout.

  3. Import batches — When importing contributions from external sources, you select the target campus during the import wizard.

Warning

Once a batch is closed and locked, its campus assignment cannot be changed. Double-check the campus before closing a batch.


Campus-Specific Financial Reports

Wired Church offers several reports that can be scoped by campus:

Contribution Summary Report

  1. Navigate to Admin > Reports > Contributions.
  2. Set the date range.
  3. Select the campus from the campus filter (or choose "All Campuses" for consolidated).
  4. Click Generate Report.

The report shows total giving by fund, broken down by payment method, for the selected campus.

Fund Balance Report

  1. Navigate to Admin > Finance > Fund Balances.
  2. Use the campus selector to view per-campus fund balances.
  3. Per-campus balances reflect only the contributions and journal entries tagged to that campus.
Tip

The "All Campuses" view on the fund balance report shows the organization-wide totals. This is the view your denomination or board of directors typically needs.

Giving Statement Generation

When generating end-of-year giving statements:

  1. Navigate to Admin > Contributions > Statements.
  2. Select the year.
  3. Choose the campus filter:
    • All Campuses — Statements include all giving regardless of campus.
    • Specific Campus — Statements only include giving attributed to that campus.
  4. Statements use the selected campus's logo and address in the header.
Important

For tax purposes, most churches generate statements at the organization level ("All Campuses") since the EIN is shared. Use campus-specific statements only if your campuses have separate EINs.


Cross-Campus Consolidated Reports

For leadership meetings and board reviews, consolidated reports provide a full-organization view:

Dashboard Overview

  1. Set the campus selector to All Campuses.
  2. Navigate to Admin > Dashboard.
  3. The dashboard cards show combined totals:
    • Total giving across all campuses
    • Combined attendance
    • Organization-wide member count
    • Upcoming events from all locations

Campus Comparison Dashboard

  1. Navigate to Admin > Reports > Campus Comparison.
  2. Select the date range.
  3. The comparison view displays side-by-side metrics:

  1. Export the comparison as PDF or CSV using the export buttons.

Online Giving and Campus Attribution

When a member gives online through Stripe, the system determines the campus using this logic:

  1. Member has a home campus set — The contribution is attributed to the member's home campus.
  2. Member has no home campus — The contribution is attributed to the organization's primary campus.
  3. Guest donor (no member record) — Attributed to the primary campus.

To set a member's home campus:

  1. Navigate to Admin > Members > [Member Name].
  2. In the member details, find the Home Campus field.
  3. Select the appropriate campus.
  4. Click Save.
Note

If a member transfers between campuses, updating their home campus only affects future transactions. Past contributions remain tagged to the campus where they were originally recorded.


Per-Campus Fund Balances

The fund accounting engine tracks balances at the campus level:

  • Each contribution posts a journal entry tagged with the batch's campus.
  • Fund balance reports can be filtered by campus to see location-specific totals.
  • The consolidated view sums across all campuses for organization-wide balances.

This is particularly useful for campus-specific funds (e.g., "DeFuniak Building Fund") where only one campus contributes to and draws from the fund.

  1. Navigate to Admin > Finance > Chart of Accounts.
  2. Filter by campus to see which accounts have campus-specific activity.
  3. Run a Trial Balance report with the campus filter applied.

Best Practices

  1. Always check your campus selector before creating new records. The most common data entry mistake is recording a batch under the wrong campus.

  2. Use "All Campuses" for board reports so leadership sees the full financial picture.

  3. Set home campuses for all members to ensure online giving is correctly attributed.

  4. Review campus comparison reports monthly to track growth trends at each location.

  5. Use campus-specific fund names when a fund only applies to one location (e.g., "DFS Building Fund" vs. the shared "General Fund").
