Billing History and Invoices

Wired Church keeps a complete record of all billing transactions for your organization. You can view past invoices, download PDFs for your church records, update your payment method, and manage your billing preferences. This guide covers everything related to your billing history and payment management.


Viewing Billing History

  1. Navigate to Admin > Settings > Billing.
  2. Click the History tab.

The billing history table shows:

Column Description
Date The date the charge was processed
Description What the charge was for (e.g., "Pro Plan - Monthly", "Upgrade Proration")
Amount The dollar amount charged
Status Paid, Failed, Refunded, or Pending
Invoice Download link for the PDF invoice

Filtering History

Use the controls above the table to filter your billing history:

  1. Date Range — Select a start and end date to narrow results.
  2. Status — Filter by Paid, Failed, Refunded, or All.
  3. Search — Search by description or invoice number.
Tip

Use the date range filter to pull up all charges for a specific fiscal year when preparing church financial reports.


Downloading PDF Invoices

Each billing transaction generates a PDF invoice that can be downloaded for your church records:

  1. Navigate to Admin > Settings > Billing > History.
  2. Find the invoice you want to download.
  3. Click the Download button (PDF icon) on that row.
  4. The PDF downloads to your device.

What the Invoice Includes

Each PDF invoice contains:

  • Wired Church as the vendor with our business address
  • Your church name and address as the billed organization
  • Invoice number — A unique identifier for the transaction
  • Invoice date — When the charge was processed
  • Line items — Plan name, billing period, and amount
  • Prorations — If applicable, showing the calculation
  • Total amount — The final charge
  • Payment method — Last 4 digits of the card or account used
  • Payment status — Paid, with the date payment was received
Note

Invoices are generated automatically for every successful charge. Failed payment attempts do not generate invoices until the payment is successfully retried.

Bulk Download

To download multiple invoices at once:

  1. Check the boxes next to the invoices you want.
  2. Click the Download Selected button above the table.
  3. A ZIP file containing all selected PDFs downloads to your device.

Updating Your Payment Method

Adding or Changing a Credit Card

  1. Navigate to Admin > Settings > Billing.
  2. In the Payment Method section, click Update Payment Method.
  3. Enter the new card details:
    • Card number
    • Expiration date
    • CVC/CVV
    • Cardholder name
    • Billing ZIP code
  4. Click Save Payment Method.
  5. The new card is verified with a $0 authorization hold (no actual charge).
  6. Future charges will use the new card.

Important

The old payment method is removed when the new one is saved. There is no option to keep multiple cards on file.

Setting Up ACH Bank Transfer

ACH is available on Pro and Enterprise plans:

  1. Navigate to Admin > Settings > Billing.
  2. Click Update Payment Method.
  3. Select the Bank Account tab.
  4. Enter your bank details:
    • Bank name
    • Routing number
    • Account number
    • Account type (Checking or Savings)
  5. Click Verify Bank Account.
  6. Two micro-deposits (small amounts under $1) are sent to your account within 1-2 business days.
  7. Return to the billing page and enter the micro-deposit amounts to complete verification.
Tip

ACH transfers typically have lower processing fees than credit card payments. Most churches prefer ACH for recurring subscription charges.


Failed Payment Handling

If a payment fails, Wired Church follows a structured process to resolve it:

Timeline

Day Action
Day 0 Payment fails. A notification email is sent to the billing contact. A banner appears on the admin dashboard.
Day 3 First automatic retry. If successful, the banner is removed and service continues normally.
Day 7 Second automatic retry. Another notification email is sent if the retry fails.
Day 14 Third automatic retry. A warning email is sent indicating the account will be suspended if payment is not resolved.
Day 30 Account suspended. Admin access is restricted to billing settings only. Member portal remains accessible in read-only mode.

During the Grace Period (Days 0-30)

  • Your account remains fully functional during the entire 30-day grace period.
  • All features continue to work normally.
  • The admin dashboard shows a payment alert banner with a link to update your payment method.
  • You can resolve the issue at any time by updating your payment method.

After Account Suspension (Day 30+)

If payment is not resolved within 30 days:

  • Admin access is restricted. You can only access Admin > Settings > Billing to update your payment method.
  • Member portal switches to read-only mode. Members can view their data but cannot create new posts, messages, or records.
  • No data is deleted. All your records, contributions, member data, and configurations are preserved.
  • Public website continues to function normally.
Important

To restore full access after suspension, simply update your payment method and pay the outstanding balance. Access is restored immediately upon successful payment.

Resolving a Failed Payment

  1. Navigate to Admin > Settings > Billing (this page is always accessible, even during suspension).
  2. Click Update Payment Method and enter a valid payment method.
  3. Click Pay Outstanding Balance.
  4. The system charges the overdue amount plus the current period's charge.
  5. Full access is restored immediately.

Tax-Exempt Status for Churches

Many churches are tax-exempt organizations under IRS Section 501(c)(3). While Wired Church subscription charges do not include sales tax in most states, some jurisdictions may apply digital services tax.

Applying for Tax-Exempt Billing

  1. Navigate to Admin > Settings > Billing.
  2. Scroll to the Tax Information section.
  3. Click Apply Tax Exemption.
  4. Upload your IRS Determination Letter (Form 501(c)(3) approval).
  5. Enter your EIN if not already on file.
  6. Click Submit.
  7. The exemption is reviewed and typically approved within 2 business days.

Once approved:

  • Future invoices will not include sales tax.
  • A "Tax Exempt" badge appears on your billing page.
  • Your exemption certificate is stored and applied automatically.
Note

Tax exemption only applies to jurisdictions that recognize 501(c)(3) exemptions for digital services. If your state does not tax digital subscriptions, the exemption status has no practical effect on your billing.


Billing Contact vs. Account Admin

These are two distinct roles:

Role Access Purpose
Account Admin Full admin access to Wired Church Manages the entire platform
Billing Contact Receives billing emails only Handles financial communications

The billing contact:

  • Receives payment confirmation emails.
  • Receives failed payment alerts.
  • Receives usage threshold warnings.
  • Receives plan change confirmations.
  • Does not need a Wired Church user account.

Changing the Billing Contact

  1. Navigate to Admin > Settings > Billing.
  2. Scroll to Billing Contact.
  3. Update the name and email address.
  4. Click Save.
Tip

Set your church treasurer or financial secretary as the billing contact. This way, the person responsible for church finances receives all payment-related communications directly.


Cancellation Policy

If you need to cancel your Wired Church subscription:

  1. Navigate to Admin > Settings > Billing.
  2. Click Cancel Subscription at the bottom of the page.
  3. Select a reason for cancellation (optional but appreciated).
  4. Confirm the cancellation.

What Happens After Cancellation

Timeframe Status
Immediately Cancellation is scheduled for end of current billing period
End of billing period Plan downgrades to a restricted state
0-90 days after Data is preserved. You can reactivate at any time and all data is restored.
After 90 days Data is permanently deleted. This cannot be undone.
Warning

After 90 days, data deletion is permanent and irreversible. If there is any chance you may return to Wired Church, reactivate your account before the 90-day window closes.

Reactivating After Cancellation

During the 90-day retention period:

  1. Log in to your Wired Church account (your login still works).
  2. Navigate to Admin > Settings > Billing.
  3. Click Reactivate Subscription.
  4. Select a plan.
  5. Enter a payment method.
  6. Click Confirm.
  7. All your data, settings, and configurations are restored instantly.

Exporting Billing Data

For your church's financial records, you can export billing data:

  1. Navigate to Admin > Settings > Billing > History.
  2. Set the date range for the export.
  3. Click Export and select the format:
    • PDF — A formatted statement of all charges in the period.
    • CSV — A spreadsheet-compatible file for importing into accounting software.

The export includes:

  • Invoice number
  • Date
  • Description
  • Amount
  • Status
  • Payment method (last 4 digits)
Tip

Export your billing history annually and file it with your church's financial records. This makes audits and financial reviews straightforward.


Frequently Asked Questions

Can I get a refund for unused time after downgrading? Downgrades take effect at the end of the billing period. You retain full access to the higher plan until then. No prorated refunds are issued for downgrades.

I was charged but my account still shows "Past Due." Payment processing can take a few minutes. Refresh the page after 5 minutes. If the status does not update, contact Wired Church support with your payment confirmation.

Can I have invoices sent to multiple email addresses? The billing contact receives all invoice emails. To share invoices with multiple people, use the bulk download feature and distribute the PDFs, or update the billing contact to a shared email alias (e.g., finance@yourchurch.com).

Do you offer discounts for churches? Wired Church is built specifically for churches, and our pricing already reflects this. The free Starter plan is available to every church. For churches in financial hardship, contact our support team to discuss options.

How do I get a W-9 from Wired Church? If your church needs a W-9 for vendor records, email support@wiredchurch.app and we will provide one within one business day.
